How to Calculate Work Hours

Work hours from clock in and clock out are gross shift time minus lunch breaks. Convert both times to minutes, subtract, then express the result as h:mm or decimal hours for payroll.

Formula

Gross minutes = Clock out − Clock in (add 24 hours if overnight)

Net paid minutes = Gross minutes − Lunch break minutes

Decimal hours = Net paid minutes ÷ 60

  1. Convert clock-in and clock-out to minutes from midnight.
  2. If clock-out is earlier on the clock than clock-in, add 24 hours to clock-out (overnight shift).
  3. Subtract lunch break minutes from gross minutes.
  4. Divide net minutes by 60 for decimal hours, or format as h:mm.
  5. Click Calculate to run the calculation and update the results panel.

Example Calculation

A standard weekday shift: clock in at 9:00 AM, clock out at 5:30 PM, with a 30-minute lunch break.

Worked example

Gross = 5:30 PM − 9:00 AM = 510 min (8 h 30 min)

Net paid = 510 min − 30 min break = 480 min

Result = 8:00 (8.00 decimal hours)
